This policy explains how personal information, health information and medical files are handled when you submit a pre-flight assessment request or contact the clinic.

Information collected
The assessment form collects your name, nationality, accommodation, departure details, injury description, place of first treatment, preferred assessment location, WhatsApp number, email address and any medical files you choose to upload.
Purpose and consent
The information is used only to review your request, assess availability, contact you and, if an appointment is arranged, support the requested medical assessment. Because the form may include health information, submission requires your explicit consent.
Medical files and access
Uploaded PDF and image files are stored securely and are not included as email attachments. Access is limited to authorised clinic staff involved in reviewing your request.
Email notifications
The clinic may receive a notification that a new request exists, and you may receive a confirmation email containing the request reference and general next steps. Medical details and files are not included in these notifications.
Security and service providers
Appropriate technical and organisational measures are used to protect the information submitted through the website. Hosting, email, security or infrastructure providers may process limited information where necessary to provide these services.
Retention
Website request files and records are normally deleted within 30 days after the request is marked completed or unable to accommodate, unless a longer period is required for ongoing medical care, record-keeping or legal obligations.
Your rights
Subject to applicable law, you may request access, correction, restriction or deletion of your personal information and may withdraw consent for future processing. Contact the clinic using the details above. Withdrawal does not affect processing already lawfully completed.
